Canvas: Transition to a New Quarter

Instructions for middle and high school teachers on how to set up their quarter 2 courses in Canvas. These instructions will also apply to the Q2 → Q3 and Q3 → Q4 transitions.

 

Introduction

Middle and high school teachers will receive new course cards/sections at the change of the quarter/term. Students will be automatically rostered.

  • High school & middle schools teachers will see these course cards the 7 days before the new quarter/term begins.
  • Students will not see the new quarter/term course cards until the calendar day before the new quarter/term.
  • Students will see their previous quarter/term courses in Courses → All Courses → Past Enrollments.
  • Teachers will still be able to view their past qua course content (all courses → Past Enrollments)

Once you have your new Q2 course cards, you will need to adjust their settings and, if appropriate, bring over whatever content you want from your Q1 courses. The first part of this article covers steps that ALL teachers should take. The rest of the article contains instructions for different scenarios. Please jump to the appropriate scenario after completing the "All Teachers" section.

All Teachers

Your NEW Course Cards Will Have the Following Course Settings:
  1. Course Name AND Course Code:
    Example: Math 7 - Engstrom (Quarter 3)
  2. Section Names:
    Example: Per 2 - Math 7 - Engstrom 

 

 

Scenario A

Teachers that are teaching the same subject(s)and same classes next quarter.

  1. High School Only: IF you have Florida Virtual content you don't want in your new course, go to Settings and click on the "Reset Course Content" button, and confirm.

  2. Import previous course content: From your NEW course home screen, click the "Import Existing Content" button on the right.

  3. In the "Content Type" pulldown menu, select "Copy a Canvas Course"

  4. In the "Search for a course" field, search for and select the previous course name you set in the "All Teachers" section above. Example: Math 7 - Engstrom - Quarter 2

  5. Click the "Select specific content" radio button so you can choose the content you want to bring over. Click "Import"

  6. In the "Current Jobs" area, click "Select Content" and then choose the content you want to bring over from the previous course: Settings, modules, pages, rubrics, etc. Click the → to select individual items in that area. Be sure to select "Pages" to get your course home page.

    Checking these boxes will bring in ALL content under  Modules area expanded so individual modules can be selected.
  7. Important Notes:

    • Be sure to select "Content Settings" to save some setup time. 

    • You don't need to select the individual assignments, quizzes, files associated with a module. Selecting a module will also import any associated resources it needs.

  8. When done, click "Select Content." You will see a progress bar. If you don't see your content right away don't panic, and don't repeat the import process again. You will likely create duplicates.

  9. After import is complete, go to your course and do the following:

    • Assignments → Set up assignment groups if you use them and adjust/disable assignment groups weighting. Publish/unpublish assignments as desired.
      Note: assignments you brought over from the previous term will be in the "Imported Assignments" group which, if you are doing assignment groups weighting may impact the students' grades. You can drag them to a different group if necessary. 

    • Settings → Course Details: Choose your course image. Click "Update Course Details" at the bottom of the page.

    • Settings → Navigation: adjust as desired, but make sure that "People" is NOT visible.

    • Settings → Apps → View App Configurations button: Click the gear next to "FLVS Global LTI Provider" and delete it! If present, it will cause errors. We use the "FLVS Global LTI Provider (TTSD)" which can't be deleted.

  10. When you are done, return to the course home screen and publish your course. Note: Doing this will replace the district start date with the current date =time and give students access, so be sure to do the last step below.

  11. Important: Settings → Course Details: Clear out the "Starts:" field and click "Update Course Details" at the bottom of the page. Now students will not be able to see the course until the calendar day before the new term starts.

Scenario B

Teachers serving multiple schools. High School 100% online.

If Using Florida Virtual Content
  1. Follow the instructions in the KB article below to import selected content from the Florida Virtual course. Only do this process once or you will end up with duplicates!

  2. After import is complete, go to your course and do the following:

    • Assignments → Set up assignment groups if you use them and adjust/disable assignment groups weighting, publish/unpublish assignments as desired. Assignments can be dragged from one group to another. You can also publish/unpublish assignments here.

    • Settings → Course Details: Choose your course image. Click "Update Course Details" at the bottom of the page.

    • Settings → Navigation: adjust as desired, but make sure that "People" is NOT visible.

    • Settings → Apps → View App Configurations button: Click the gear next to "FLVS Global LTI Provider" (if you see it) and delete it! If present, it will cause errors. We use the "FLVS Global LTI Provider (TTSD)" which can't be deleted.

  3. "Cross list" your course cards from separate schools into one, following the instructions in the KB article below.

  4. When you are done, return to the course home screen and publish your course. Note: Doing this will replace the district start date with the current date/time and give students access, so be sure to do the last step below.

  5. Important: Settings → Course Details: Clear out the "Starts:" field and click "Update Course Details" at the bottom of the page. Now students will not be able to see the course until the calendar day before the new term starts.

 

​If Using Content From Your Previous Q1 Course or Another Teacher's Q1 Course

Important: You can only bring over content from Q1 courses that you taught. If you need to bring over content from a course you didn't teach, have the teacher of that Q1 course temporarily add you as another teacher.

  1. To import content from another teacher's Q1 course, ask them to add you as a teacher. You can be removed from that course after importing what you need. If you are importing from your own Q1 course, skip to the next step.
  2. Import Q1 course content: From your NEW Q2 course home screen, click the "Import Existing Content" button on the right.
